This position is an immediate need.  This individual will support the VP of HR, some HR experience would be preferred.

 Description  


Under minimal direction, this position provides executive-level administrative and project management support to the Vice President of Human Resources, and the senior
management team.  The Human Resources Executive Assistant is also responsible for a variety of services to an HR department 
 


Essential Functions:



  • Managing complex and dynamic calendaring of internal and external meeting schedule for VP;

  • Managing communications (incoming mail and telephone calls) with vendors, clients and  staff;

  • Managing multiple HR department budgets, reporting on metrics (i.e. turnover and headcount statistics), and assisting with the presentation of HR-related data;

  • Providing project and logistics coordination of all-employee annual events including special awards ceremonies, service recognition dinners, community teaming awareness fairs, employee appreciation summer picnic, and others;

  • Assisting with preparation of Board of Director meeting materials, including complex committee packages;

  • Organizing senior HR management and HR staff meetings;

  • Creating communication materials (emails, memos, posters, online announcements) for HR-sponsored events;

  • Maintaining HR organization chart and department descriptions on intranet;

  • Making high-level contacts of a sensitive nature inside and outside of the company;

  • Collecting and preparing information for use in discussions/meetings of staff and outside individuals;

  • Providing support for the facilities and equipment needs of HR (furniture, office coordination; technical equipment)

  • Recruitment and screening of candidates

  • Must be self-directed, as well as experienced in working collaboratively on complex administrative and event project teams in both participant and leader roles;

  • Ability to identify and take responsibility for carrying out solutions to administrative problems;

  • Demonstrated flexibility, creativity, and good judgment;

  • Proven analytical capability;

  • Familiarity with a variety of concepts and practices relating to budget management;

  • Demonstrated ability to resolve staff/client/community relations issues with tact and diplomacy;

  • Must display exemplary customer service skills and use discretion and maturity when dealing with confidential and sensitive information;

  • Possess a strong sense of deadlines and timelines, with strict attention to detail;

  • High level of initiative;

  • Commitment to continuous improvement by streamlining processes and procedures and suggesting other target opportunities.

  • Sound background with technology and software programs;

  • Proficient with MS Office Products;

  • Proven ability with PowerPoint presentations;

  • Knowledge of Halogen a plus

    EDUCATION:
    College degree preferred.

    EXPERIENCE:
    7-10 years experience in senior administrative support roles that include event planning/project management, preferably within Human Resources. Experience with maintaining a paperless desk would be a big plus.



Requirements


Minimum of 7 years of experience
Proficient in MS Office Products expecially PowerPoint
Background with benefits and compensation a plus
Must have experience supporting upper level management ie: Director's, VP's, CFO's, CEO's etc...

The perfect candidate will have a blend of HR experience and Executive Assistant Experience
