Can someone please help me with a voice recorder type system?  What is the best way for a busy executive to log the activities of their day digitally by voice and upload the (voice) data easily to a laptop or flash drive?  The data would then have to be transmitted to a second party for transcription.  Thanks!!

Is the transcriptionist in the office or out in cyberspace?

OK, I am the second party.  My mentor and previous supervisor is living in one state, working in another (I live and work in the third), and needs help with his expense paperwork trail.  I am great at this task one-on-one but want to develop a system to do it through cyberspace.

He needs a flash recorder that connects via USB somehow (SD card, directly, whatever) to his computer and records in MP3 or .Wav format.  Make sure it doesn't record in any proprietary format or it will be harder to work with... you do not want to get a tape-based one.  You need a digital one for this.


(There are other ways to do this but this is the simplest setup....)


Then, you need to get an account somewhere like Box.net that you both have access to.  I'd get the first plan you pay for, the $7.95 one.  Sure, it's a little money, however, it will be reliable that way and you can upload/download large files - my tip would be never to rely on a free service for anything important, or you will get burned when you need it most.


Have your mentor transfer the files from his device to the computer or directly to the box (just browse to the device in the "My Computer" and select it if on Windows) and upload.  You check the box - I think you can set it to send you a notification - and download the file.  You're done!


Once it's uploaded, your mentor can delete the file on his recorder, and once you're done, you can delete it off of Box.net so there is always new space for stuff.

What you need is an online voice message sharing system(depending on file size). Here are few services by which you can leave/create voice messages from PC to Cyber Space, Phone to Cyber Space or even create your audio on a digital recorder and then to Cyber Space. Especially since you had mentioned "Busy" - phone to cyber space might be an efficient way.


Here are some choices:





  •  http://voice2page.com/  - You need to add the HTML code in your website or a secure page that you can share only with people who you want to hear the voice mail. I can help you with adding teh HTML code or creating that page if you want.. its pretty simple.

If you are looking for some thing like what was suggested earlier (box.net),  Just a virtual hard disk/memory space for you to save a file (not necessarily audio),  then there are plenty of free virtual memory systems that are trust worthy, you shouldn't have to pay anything.


Note: in this case you may manually need to compress audio files, if you want to have faster upload/download and smaller space usage - as opposed to the above choices like drop it.


I use http://www.xdrive.com/  (by AOL) thats pretty secure and all you have to do is share your access with your out of state people.

Thanks for the info, guys!  It looks like drop.io is going go work well.  We need to keep the process as simple as possible. Has anyone actually used it?  I just want to be sure that it is as effective as it looks. 


Also, it is a free service and there wasn't any advertising on the site.  How is the service funded?

Its my philosophy to find the best solution for my clients and Drop.io was some thing I came across that way. I have tried it only for a trial purpose since it was new and cool . I have not used for any actual projects yet.


I am not sure how they fund themselves. I am guessing its one of the VC type thing and I am sure in future they will start selling ads and other payed options (just like how flickr started out)
